The record should carry its context
Ownership, status and history make a client record useful after the first request has been sent.
Context is part of the work
A file without a period or an owner is difficult to act on. A completed task without a history is difficult to learn from. The record needs to carry enough context that another person can understand what happened without reopening every conversation.
What to keep together
- the client and the responsible practice team;
- the request or deliverable the file belongs to;
- the current status and the next decision;
- the due date and the relevant period;
- the activity that explains how the work moved.
This is useful for a solo practitioner and even more useful for a growing team. Work can change hands without losing the reason it exists.
A calmer handoff
Good context does not mean more fields for their own sake. It means the right details are available at the moment someone needs to decide, review or respond.
The practice sees control. The client sees clarity. Both are looking at the same record.
